This Privacy Notice explains how KTU RESULTIFY ("KTU RESULTIFY," "we," "our," or "us") collects, uses, and handles information about you in connection with our web platform (the "Platform") and the academic analytics services we provide through it (collectively, the "Services"). By accessing or using the Platform in any capacity, you acknowledge the practices described in this Notice.
1. Information We Collect and How We Use It
We collect only the information necessary to operate the Platform and provide the Services. This falls into two categories: information you provide directly, and information we collect automatically through your use of the Platform.
Information You Provide: When you create an account, you authenticate via Google Sign-In. Through this process, we receive your name, email address, and profile picture from Google, the minimum required to create and identify your account. When you use the Services, you may upload KTU result PDFs. The academic data extracted from these files is processed solely to generate analytics, reports, and dashboard history for your use.
We use the information we collect for the following purposes:
- To authenticate your identity and maintain your account;
- To process uploaded result PDFs and generate academic analytics and downloadable reports;
- To maintain your dashboard history for the duration of its retention window;
- To improve the performance and usability of the Platform's public pages.
2. Data Retention and Deletion
We follow strict data minimization principles. Uploaded files, extracted academic records, and generated reports are treated as temporary data and retained only for the limited period necessary to provide the Services.
Uploaded PDF Files: Files you upload are held in secure cloud storage only for as long as necessary to support processing and data recovery. Once a file's retention window closes (approximately 24 hours), it is automatically deleted through our scheduled cleanup process.
Dashboard History: Processed results displayed in your dashboard carry a standard 24-hour TTL. After this period, they are automatically removed from active access. To view a result again after expiry, you would need to re-upload the original PDF.
Manual Entry Deletion: You may delete any individual analysis entry from your dashboard at any time using the delete icon (🗑️). Doing so immediately unlinks the associated academic data and uploaded file from your account and clears them from our systems, without waiting for the automated cycle to complete.
Inactive Accounts: User accounts with no recorded activity for 12 consecutive months are automatically flagged for removal from our systems.
Profile and Account Deletion: You may request complete deletion of your account and all associated data at any time from your profile settings. Deletion takes effect after a grace period of approximately 3 days. If you sign back in during this window, the deletion request is automatically cancelled and your account is fully restored.
3. Infrastructure and Data Security
The Platform runs on modern cloud infrastructure designed to minimize persistent data exposure. Processing is optimized to use active memory and short-lived caching during your session. For temporary file storage and database operations, we rely on reputable third-party cloud providers whose services are subject to the same retention and deletion policies described in this Notice.
We implement reasonable technical and organizational safeguards, including secure authentication, encrypted transport, and controlled storage access, to protect the data we handle. However, like all online services, no system can be guaranteed to be completely secure. In the event of a security incident affecting your data, we will take appropriate steps to investigate and respond in accordance with applicable standards.
4. Third-Party Services
Google Authentication: We use Google Sign-In to verify user identity securely. We receive only your basic profile information - name, email address, and profile picture, and use it solely for account creation and authentication. We do not share this information with third parties for any other purpose. Google's handling of your information during sign-in is governed by the Google Privacy Policy.
Microsoft Clarity: We use Microsoft Clarity for usage analytics on public-facing pages only. Clarity may collect interaction data such as clicks, scrolls, and session duration on these pages. Their processing of this data is governed by the Microsoft Privacy Statement. As noted above, Clarity is not loaded on any authenticated or private route within the Platform.
5. Non-Affiliation and Data Accuracy
KTU RESULTIFY is an independent academic utility, built and maintained as a community-driven project. We are not affiliated with, endorsed by, or officially connected to APJ Abdul Kalam Technological University. Users are responsible for obtaining their own result PDFs from official KTU sources and uploading them to the Platform independently.
While we strive for the highest accuracy in all generated reports and analytics, we recommend verifying results manually before relying on them for any official documentation or academic purposes.
6. Changes to This Notice
We may update this Privacy Notice from time to time. When we do, we will revise the "Last Updated" date at the top of this page. For material changes, we will make reasonable efforts to notify users through the Platform. We encourage you to review this Notice periodically to stay informed about how we handle your information.
