What is KTU Resultify?

KTU Resultify converts official APJ Abdul Kalam Technological University (KTU) result PDFs into structured analytics with pass percentages, grade distributions, SGPA distribution, and downloadable reports. It works for B.Tech and M.Tech results.

How it works

You upload the official result PDF published by KTU. The parser extracts register numbers, individual subject grades, arrear counts, and subject metadata for every student in the document.

Uploading KTU Result PDFs

The dashboard's upload screen is the first thing you see when you open dashboard. You can either visit your past analyses by navigating on the Left Panelwhere exam title and time and date of upload is also included or you can drop the official KTU result PDF in Upload Section.

Where is it

Dashboard → New Upload (left sidebar)

Clicking + New Upload in the left sidebar resets the main panel to the upload screen. The upload zone occupies the left side; the right side shows the file status, parser options, and the Analyze Now button.

Step by step

  1. Download the PDF from the official KTU results portal (kerala.gov.in or ktu.edu.in). Only official, unmodified PDFs work reliably.
  2. Drag the PDF onto the upload zone, or click the zone to open a file picker. The zone shows a blue upload icon in the centre.
  3. Once selected, the file name appears in the status row on the right and Analyze Now becomes enabled.
  4. If the default parser gives incorrect or missing data, check "Use Alternative Parser" before clicking Analyze. See Parsing Engines for details.
  5. Click Analyze Now. A progress bar appears and cycles through phases (Analyzing PDF → 0% → 100%). This usually takes 5–30 seconds depending on the file size.
  6. On success, you land on the dashboard view for that result, with filters and charts ready to use.
Maximum file size is 4.5 MB. Very large exam PDFs (e.g., full university-wide results) may exceed this. Use department-specific PDFs if available.

Supported formats

  • B.Tech Results: Supported.
  • M.Tech Results: Supported.
  • Scanned image PDFs: Not supported. Only text-based PDFs work.
  • Multi-college combined PDFs: Not officially supported; parsing accuracy varies.

Parsing Engines

KTU result PDFs come in slightly different internal formats depending on the semester and exam office. Two parsing engines exist to handle this variability.

Standard Parser (default)

Upload screen → default selection

The Standard Parser organizes the result data from the PDF by separating each student's record, collecting their subject-wise grades, and calculating arrears based on failed subjects. This helps generate accurate academic insights and performance summaries.

Use this for all B.Tech and M.Tech result PDFs.

Start with the Standard Parser. It processes faster and covers the vast majority of KTU result formats.

Alternative Parser (layout-based)

Upload screen → check "Use Alternative Parser"

The Alternative Parser reads the result data directly from the PDF's structured layout. It is useful for PDFs where the standard parser may not organize the data correctly, especially in different or complex result formats.

Use this when the standard parser produces missing students, mismatched subject codes, or blank results.

The Alternative Parser is slower. If it fails entirely, it returns a specific error message. This means the PDF format is not currently supported - use the Report Issue button in the dashboard sidebar or mail to flag it.

Dashboard Filters

Three dropdown filters sit at the top of the dashboard view. They work in a strict hierarchy - you must select a batch before you can pick a department, and a department before you can drill into a specific subject.

Academic Batch (first dropdown)

Dashboard → top filter bar → "Academic Batch"

This is the entry point. It controls which academic year group to load. Options depend on the register numbers found in your uploaded PDF:

  • Regular & Non-Regular (All Years) - merges all year groups. Use to see the full picture across the file.
  • Regular (Year 20XX) - isolates the most recent admitted batch. This separates students who wrote the exam in their first attempt.
  • Non Regular - students who are repeating the semester (carry-over or detained students).
  • Year 20XX - specific individual year entries if multiple cohorts appear in the PDF.
Until you select a batch, the Department and Subject dropdowns are disabled and the chart area shows the onboarding guide cards instead of analytics.

Department (second dropdown)

Dashboard → top filter bar → "Department"

After selecting a batch, this dropdown populates with all branch codes and their full names (e.g. Computer Science Engineering (CS)). The default - College Overview (All Departments) - shows a cross-department comparison bar chart.

When a specific department is selected, charts switch to that department's grade distribution, subject-wise pass rate bar chart, and performance overview.

If the PDF contains only one department, the system auto-selects it for you.

Subject (third dropdown)

Dashboard → top filter bar → "Subject"

Only available once a department is selected. Each option shows the subject code, full name, and pass percentage in brackets (e.g. CS301 (Introduction to Algorithms) [74.2% Pass]). Subjects with a pass rate below 60% are highlighted in red in the dropdown.

Selecting a subject replaces the department-level charts with a per-subject grade distribution pie and a pass/fail bar chart.

When a department has more than 8 subjects, a Filter Subjects text input appears above this dropdown. Type any subject code or name to instantly narrow the list.

Breadcrumb navigation

Dashboard → breadcrumb row (below filters)

A breadcrumb row like Regular 2024 / Computer Science / CS301 appears below the filters once a batch is selected. Each segment is clickable - clicking the batch name resets the view to the college overview; clicking the department name resets to department overview.

Chart System

The charts update live whenever you change a filter. Each view level (college, department, subject) shows a different set of charts. All charts are built with Chart.js and respond to your theme (dark/light).

College overview charts

Shown when a batch is selected but no department is chosen.

  • Stream-wise Pass Rate (horizontal bar) - one bar per department, showing pass % from 0–100%. Hover a bar to see exact student counts. Bars are ordered alphabetically.
  • SGPA Distribution (line chart) - appears only if Subject Credits are configured. Shows how many students fall in each SGPA bracket (e.g. 8–9, 9–10) across all departments for that batch.

Department overview charts

Shown when a department is selected but no specific subject is chosen.

  • Grade Distribution (doughnut) - total grade counts across all subjects in the department. Hover a slice to see the exact count and percentage.
  • Performance Overview (bar) - three bars: Total Appeared, Total Passed, Total Failed.
  • Subject-wise Pass Rate (horizontal bar) - one bar per subject. Subjects below 60% are visually flagged. Useful for spotting the worst-performing subject in a department.

Subject detail charts

Shown when a specific subject is selected from the Subject dropdown.

  • Grade Distribution (pie/doughnut) - grade-by-grade breakdown for that subject (s, A+, A, B+, B, C, D, F, etc.).
  • Pass / Fail Analysis (bar) - a simple two-bar chart: Passed vs Failed, with counts and percentages shown via data labels.

Stat cards

Four stat cards above the chart area always display the key numbers for your current selection: Total Appeared, Total Passed, Pass Rate %, and either Stream Count or Subject Count depending on the filter level.

Subject Credits & SGPA

By default, the dashboard shows grade distributions and pass rates. To calculate SGPA, class rankings, and the SGPA distribution chart, you need to supply subject credit values. The PDF does not contain credit data - you enter it manually.

Where is it

Dashboard → "Subject Credits" action card (yellow)

The Subject Credits action card appears in the Configurations row below the Export & Reports row. Click it to open the Subject Credits Configuration modal.

How to configure

  1. Click the Subject Credits card. A modal opens showing every subject code found in the current department.
  2. Enter the credit value (integer or decimal) for each subject. Subjects without a credit value entered are excluded from SGPA calculation.
  3. Click Save & Apply. The SGPA distribution chart appears in the College Overview and the SGPA and Rank columns appear in Excel exports.
  4. To reset all credits back to blank, click Clear All.
The SGPA formula is: ΣSGPA = (grade_points × credits for each subject) ÷ total credits entered. Only subjects with a credit value count.

SGPA in Excel exports

Once credits are saved, every Excel export for that department gains three extra columns: Total Credits, SGPA, and Rank. Rank is computed from highest to lowest SGPA among all students in the exported sheet.

Custom Grade Mapping

KTU uses a standard grade-to-points scale (S=10, A+=9, A=8, …). Some institutions or special exams use non-standard grades like A++ or LP. Custom Grade Mapping lets you define what those grades are worth, so SGPA calculations remain accurate.

Where is it

Dashboard → "Grade Settings" action card (blue)

The Grade Settings card appears in the Configurations row. Click it to open the Custom Grade Mapping modal.

How it works

The default grade-to-points table is pre-loaded (S=10.0, A+=9.0, A=8.5, B+=8.0, B=7.5, C+=7.0, C=6.5, D=6.0, P=5.5, F=0). Any grade you define here overrides the default for that grade label. Custom mappings are applied:

  • In all on-screen SGPA calculations.
  • In Excel exports (Total Credits, SGPA, Rank columns).
  • They are scoped to your current browser session - they reset if you clear session data.

Common use cases

  • Analysing older scheme results where the grading was different or specific to an institution.
  • Internal exam results use LP (Low Pass) - map it to a numerical value to include it in SGPA.
  • Special carry-over exams use different grade labels - define them here before exporting.
Click Reset Default in the modal to wipe all custom mappings and restore the standard KTU scale.

Individual Student Report

The Student Report lets you look up a specific student by their register number and view their complete grade breakdown, arrear list, and a personal grade distribution chart - all in a shareable, exportable format.

Where is it

Dashboard → "Student Report" action card (purple)

The purple Student Report card appears in the Export & Reports row. Click it to open the search modal. This card is only visible after a department is selected.

How to use

  1. Click the Student Report action card to open the modal.
  2. Type the student's register number in the search field (e.g. MKM25CS1294). It must exactly match the register number in the uploaded PDF.
  3. Click Search. The modal populates with: Subject-grade table, Arrear count, Arrear subject codes, and a grade distribution pie chart.
  4. Click Export Report to PDF to download a single-page PDF for that student using the basic rendering engine.

Excel & ZIP Export

You can download the parsed result data as a formatted .xlsx spreadsheet. The scope depends on what you have selected: a single department gives you one Excel file, while the college overview gives you a ZIP archive containing one Excel file per department.

Where is it

Dashboard → "Excel Sheet" or "Excel Zip" action card (blue)

The blue action card in the Export & Reports row changes its label based on your filter state:

  • Excel Zip (Year XX) - visible when only a batch is selected (no department). Downloads a ZIP file with one .xlsx per department.
  • Excel Sheet (Year XX) - visible when a department is selected. Downloads a single .xlsx for that department.

Spreadsheet structure

Each Excel file has a single worksheet named after the department code (e.g. CS). The layout:

  • Rows 1–3: Institution name, Exam Centre, Department name (merged, styled header).
  • Row 4: Section header (e.g. "YEAR 24" or "Regular & Non Regular").
  • Row 5: Column headers - Register ID, then one column per subject code, then Arrear Count, Arrear Subject(s). If credits are configured: Total Credits, SGPA, Rank.
  • One row per student, sorted by register number.
  • After all students: Subject Summary section (Appeared, Passed, Pass % per subject), then Overall Summary (total appeared, passed, pass rate).
  • If credits: SGPA Summary section at the end.

File naming

Files are automatically named using the exam name, department, and year extracted from the data - for example: B_Tech_S5_Regular_2024_Computer_Science_Engineering_Year_24_by_KTU_Resultify.xlsx. ZIP archives follow the same convention with a .zip extension.

PDF Reports

Click the green "Report PDF" action card to generate a multi-page academic performance report. A mode chooser modal appears first - you pick between Advanced (print-quality) or Basic (image-based) rendering.

Where is it

Dashboard → "Report PDF" action card (green)

The green PDF button appears in the Export & Reports row whenever a batch is selected. Its label shows the scope: Report PDF (Regular) or Report PDF (Year 24).

Choose your report quality

When you click the button, a two-option modal appears:

Recommended
Advanced Report
Typeset, print-quality. Uses vector SVG charts, proper data tables, table of contents, and a cover page. Opens your browser's Print dialog - set Destination to "Save as PDF" to download.
Basic Report
Screenshots the current Chart.js charts and assembles them into a jsPDF document. Downloads directly to your device. Faster on low-end machines; charts are rasterized images at lower resolution.

Advanced Report contents

Built from the live dashboard data, structured as a proper typeset document:

  • Cover page - exam name, institution, year, generation date, departments count.
  • Table of Contents - linked sections.
  • Executive Summary - institution-wide stats, bar chart of department pass rates, department summary table with rows flagged red if pass rate < 50%.
  • Per-department sections - each department's stats, grade distribution donut chart, overall performance bar chart, subject-wise pass rate chart, subject summary table.
  • Per-subject subsections - grade distribution, pass/fail split.
  • Footnote - TBP disclaimer and generation source notice.

Basic Report scope

When a specific department is selected, the Basic Report covers only that department. When the College Overview is shown, the Basic Report iterates through all departments and subjects in sequence (you will see brief chart flashes as it captures each one), then downloads a complete multi-department PDF.

The Basic multi-department export can take 30–90 seconds for large PDFs with many departments. Ignore the brief chart flashing - it's the engine cycling through subjects to capture screenshots.

History & Session Cache

Every analysis you run is saved in the server-side session cache. The left sidebar's "Previous Analyses" section lists them so you can switch between results without re-uploading.

Where is it

Dashboard → left sidebar → "Previous Analyses"

The sidebar loads your analysis history on every page visit. Each entry is a card showing the exam name and when you uploaded it.

Cache expiry

Each analysis is cached server-side for 24 hours from when it was uploaded. If you return to the dashboard after the expiry window, attempting to open that result will show an expiry error and redirect you to the history page. You will need to re-upload the PDF to regenerate the analysis.

The 24-hour window resets every time you reupload pdf.

Deleting entries

  • Delete one result - click the trash icon on a specific history card in the sidebar.
  • Delete all results - click the trash icon next to the "Previous Analyses" label at the top of the history section.

Filter & view state persistence

When you return to a result from history, the dashboard restores your last selected batch, department, and subject automatically. This state is saved in your browser's local storage (via localforage), not the server. It persists across page reloads for the same result ID.

Manual Verification Required

While KTU Resultify uses advanced parsing engines to extract data from official PDFs, errors or omissions can still occur due to variations in PDF layouts, unannounced format changes by the university, or corrupted files.

Always manually cross-verify the generated analytics, SGPA values, and reports against the original university PDF before making any official academic or administrative decisions based on this data.

KTU Resultify is provided as a supplementary tool to assist with result analysis. By using this service, you acknowledge and agree that:

  • The developers and maintainers of KTU Resultify shall not be held liable for any direct, indirect, incidental, or consequential loss or damages arising from the use of this tool.
  • The site and its creators bear no responsibility for any decisions made, actions taken, or academic conclusions drawn based on the outputs (spreadsheets, PDFs, or charts) generated by this platform.
